Overview
As Regulatory Staff review continuing education (CE) activity records, they can assess whether it counts toward the licensee’s plan. If it does not count, the licensee can correct that activity and send it back for review.
Activities staff have already accepted; stay locked.
- Staff can record a review status of an activity when performing a CE activity audit/review.
- Depending on the status configuration, the following can occur:
- Hours for the activity get excluded from the overall CE plan.
- The system notifies the licensee to update the required information.
- The licensee can see the status and resubmit the CE activity with the correct information, updated documentation, etc.
- Emails to the licensee based on preconfigured email templates.
Review status
Each activity has a review status.
- No review status: The licensee entered the activity and staff have not reviewed it.
These hours always count toward the plan total. - Pending Review: The activity is waiting for staff to review it again.
- Any other status: Configurable in the Workbench.
Each status has an Exclude from CE plan setting.- Yes: The activity does not meet requirements. Its hours are left out of the plan total until it is accepted.
- No: Staff has accepted the activity. Its hours count, and the licensee cannot change or delete it.
The portal never marks an activity as accepted. It only leaves the review status empty, or sets it to Pending Review after the licensee makes a correction.
When the plan can be changed
| Plan status | What it is for |
|---|---|
| Open | The licensee is still working on the plan. An Open plan closes automatically after the plan end date. |
| Reopened | Staff reopens the plan after the end date so the licensee can correct activities that were excluded. The plan stays editable after that date. |
If the CE area is read-only, the page is part of a renewal, or a fixed plan’s deadline has passed, the whole plan stays locked. The licensee cannot add, edit, or delete activities.
Note: Activities submitted by an education provider are always view-only. The licensee cannot edit or delete them.
Open plan
| Current review status | Can the licensee edit it? | Review status after they save |
|---|---|---|
| None | Yes | Stays empty |
| Pending Review | Yes | Stays Pending Review |
| Exclude from CE plan = Yes | Yes | Changes to Pending Review |
| Exclude from CE plan = No | No. Edit and delete are both blocked. | Unchanged |
Reopened plan
The licensee can add a new activity. Saving it sets the review status to Pending Review.
An existing activity can be changed only in these cases:
| Current review status | Can the licensee edit it? | Can they delete it? | Review status after they save |
|---|---|---|---|
| None | No | No | Unchanged. Hours still count. |
| Pending Review | Yes | Yes | Stays Pending Review |
| Exclude from CE plan = Yes | Yes | No | Changes to Pending Review |
| Exclude from CE plan = No | No | No | Unchanged |
What staff see after a correction
1. Staff set a review status with Exclude from CE plan = Yes. Those hours drop out of the plan total.
2. The licensee updates that activity.
3. The review status changes to Pending Review, so it is back in the queue for staff.
4. Activities that were accepted stay as they are. Their hours stay in the total.
5. When staff later set a status that does not exclude the activity, its hours count again.
