Creating and Configuring Regulatory Exams in Workbench

Overview

This article explains how to create and configure a Regulatory Examination in the Thentia Workbench so it can be used in application, renewal, reinstatement, authorization, or other custom processes. The Regulatory Examination feature allows regulators to create and manage multiple-choice exams required for licensure or other regulatory approvals.

These exams can be timed, require a passing score, and can be configured to collect payment before an exam begins or for retake attempts.

Configuration Workflow

Follow these steps to create and configure a new regulatory exam:

1. Create a New Regulatory Exam Record

Create a Regulatory Exam record to define the main exam configuration.

Questions Per PageControls how many questions appear on each page.
Pass Rate (Percentage)Minimum percentage required to pass.
Maximum Attempts AllowedLimits how many times a user can attempt the exam. Leave blank for unlimited attempts.
Is Time Limited + Time Limit (minutes)Enables and sets a timer for the exam.
Days ValidSets the expiration period for the exam record (default 365 days). Users can retake the exam only after this date if they need to reapply.
Hide Question AnswerChoose Yes to hide correct answers after submission, or No to display them.

2. Create Examination Sections

Under the Regulatory Exam record, create Regulatory Exam Sections to define question pools.

The Question Count field sets how many questions will be drawn from that section.
Sections are not displayed directly to the portal user, but determine question selection.

3. Create Examination Questions

Within each section, create Regulatory Exam Questions.

  • Only the multiple-choice format is currently supported.
  • Use the Mandatory field to ensure certain questions are always included before any random selection.

4. Create Examination Choices

For each question, create Regulatory Exam Choices (answer options).

  • Each question supports a single correct answer.
  • Use Choice Ordinal to set the display order of the choices.

5. Configure Examination Retake Fees

Set Regulatory Exam Fees under the main exam record to require payment for retake attempts. Include the initial attempt fee in the overall process fee (e.g., Application Fee).

6. Connect the Exam to a Process

Create a Regulatory Exam Process Type record to link the exam to a process type, such as:

  • Application
  • License Renewal
  • License Reinstatement
  • Authorization Application
  • Custom Process

This ensures the exam is presented at the correct stage of the selected process.

Best Practices

  • Use clear and concise names and descriptions so portal users understand the exam’s purpose.
  • Test the exam in a sandbox or staging environment before releasing it to applicants.
  • Review the maximum attempts and retake fee settings to match regulatory requirements.
