Understanding the Difference Between the Workbench and the Portal

Overview

Thentia Cloud has two main components: the Portals and the Workbench.
They work together, but they are used by different people for different purposes and have separate logins.

What is the Portal?

The Portal is the public-facing side of Thentia Cloud.

It is used by:

  • Applicants and licensees – to apply for licenses, renew, and manage their information

  • Businesses and education providers – to apply for and maintain organization-level licenses

  • Members of the public – to look up license and discipline information, or submit complaints

  • Inspectors – to manage inspections (via a dedicated inspections portal, where applicable)

Typical tasks done in the Portal include:

  • Submitting a new license application

  • Renewing an existing license

  • Updating contact or personal information

  • Paying fees

  • Viewing license or registration status

  • Searching the public register

  • Submitting a complaint

Portals are designed for external users and are accessed via a web link provided by the regulatory body.

What is the Workbench?

The Workbench is the administrative backend used by the regulatory organization.

It is used by:

  • Regulatory staff and administrators

  • In some cases, board members or other internal users

Typical tasks done in the Workbench include:

  • Configuring workflows (e.g., application, renewal, complaint, inspection)

  • Managing and reviewing applications

  • Processing renewals and other transactions

  • Recording and tracking complaints, investigations, and discipline

  • Managing payments and financial records

  • Configuring Portal behavior, forms, and messaging

The Workbench is where the internal team manages data, processes, and system configuration.

How the Portal and Workbench Work Together

  • Applicants and licensees interact with the Portal to submit information and requests.

  • The information they submit appears in the Workbench, where staff review, approve, or take further action.

  • Changes made in the Workbench (for example, approving a license) are reflected back to the Portal so the user can see their updated status.

Do the Portal and Workbench Share Logins?

No. They are separate systems with separate user accounts.

  • A Portal account cannot be used to log in to the Workbench.

  • A Workbench account cannot be used to log in to the Portal.
