New features and enhancements: Portals

All Portals

• Updated the Bulk Payment page to also display invoices that are only linked to a Business record (previously, only invoices linked to both a Business record and a Profile record would be shown).

All modules

• Document Examination records now support Portal messaging functionality. While viewing any record in the Document Examination entity (reg_documentexamination), you can now start message threads, and view responses from licensees, under Files & Activities > Messages. When you create a new message thread from a Document Examination record, the recipient field will be automatically populated with the value from the record’s Primary Contact field (if present), or otherwise with the value from the Business field.

• To provide more context to licensees, the notification email that is sent to licensees when they have received a new Portal message now includes the message thread’s subject line in the email body.

• In Summary Views, for fields where the underlying attribute control is a Radio Button with the value Unset, the value of the field in the Summary View will now be shown as “-” instead of “Unset”, to be consistent with the way Unset values are displayed throughout the Workbench.

Analytics module

• You can now set a default sort order on queries created with the Query Builder. While building a query, you can set a sort order on up to two columns, and this sort order will be applied by default to reports run from the query. If you configure a sort order on two columns, the leftmost column will be used to sort the report first, then the rightmost column.
• When you create a new interactive query and select the Build Query by Interface option, the Data Source Entity dropdown menu now displays both the entity label (e.g. Profile) and the entity name (e.g. reg_profile) to make it easier to select the correct entity to use as a data source for the query.

Workflow module

• You can now create subtypes for any Education Program Type, allowing you to configure multiple application processes for each Program Type. When you create and configure a Program Type, you can now use the new Parent Program Type setting to choose which of the four system Program Types (Managed, Unmanaged, Exam, Continuing Education) your new Program Type will be a subtype of. The application process you configure on that subtype will be specific to it, so each system Program Type can be have multiple subtypes, each with their own, separate application process.

• You can now configure whether a Custom Page Process or a Portal Process Step should be included in the renewal process for an Education Program. On records in the Portal Custom Page Process (port_custompageprocess) and Portal Process Step (port_processstep) entities, set Provider Program Renewal Process to Yes to include the page process or process step in the renewal process of the specified Education Program, or to No to only include them in the application process (and exclude them from the renewal process).

• A new parameter is now available for configuring Table Views: with the parameter tc_ownerid = CurrentUser you can now configure Table Views to display only records that belong to the current user (i.e. records where the user who is viewing the Table View is set as the record owner).
• To make better use of space, we have adjusted the locations of the New View, Duplicate and Remove buttons in the Table Views configuration menu: the New View button is now called +Add and is located in the Views section header, while the Duplicate and Remove buttons are within the Configuration panel for each Table View.
• To better represent the purposes and use cases for entities, we have updated the available options in the Subject Area dropdown menu on the entity metadata page. The System and System Configuration options have been removed, and the following options have been added: Common, Quality - Document Exam, Quality - Business Filing, and Questionnaire.
• To prevent synchronization problems with Analytics data caused by extremely long attribute names, we have implemented a limit on the length of attribute names. On newly created attributes, the maximum length of the attribute name is now 64 characters.

Bug fixes: Portals

All Portals

• Fixed the instruction text (indicating that fields with an asterisk are required) on the Submit Document section within various Portals pages so that the text now appears within the same area as the form fields it applies to.

Business Licensing Portal

• Fixed a bug where the Business Information page within the Business License Application process would load twice after clicking on the Save & Continue button.
• Fixed a bug where the two textbox form fields for Social Security Numbers were not being displayed on custom pages.
• Fixed a bug in the Business License renewal process where, if a user uploaded a document on the Declarations page and then removed it again, the deleted document would still be shown after leaving and then returning to the same page.
• Fixed a bug where, if a licensee submitted a Business Address Change request and set both the Current mailing address same as business address? and New mailing address same as business address? fields to Yes, the email sent to the licensee after the request was approved would display N/A for both mailing addresses.
• Fixed a bug where, after a licensee submitted a Business License renewal, the Review Past Renewal table was displaying both the Business Name and the Business License Type under the column License Number.
• Fixed a bug that was causing the Staff Listing Add/Edit page not to load.
• Fixed a bug where Portal users were being involuntarily logged out after clicking on the Key Contacts page, making changes, then clicking Save & Back.

Education Provider Portal

• Fixed a bug where, if a user went back one page while completing an Education Provider application, the PDF that is displayed when clicking on Review (after submitting the application) would contain duplicates of any pages viewed more than once.

Inspection Portal

• Fixed a bug on Inspection Reports: after the Inspector selected the status Not Compliant on an Inspection for any checklist item, this would also set the entire Inspection Report status to Not Compliant and lock that status, so that even if the the checklist item was later changed to Compliant, the overall Inspection Report would still remain set to Not Compliant and could not be changed.

Licensee Portal

• Fixed a bug that was allowing licensees to still enter activities in Continuing Education plans that already had a status of Closed and a submission deadline date in the past.
• Fixed an issue where the navigation menu (sidebar) was not being populated with available pages in Portals configured with a very large number of pages.
• Fixed a bug where the Related License dropdown menu on the Document Request page was not clickable, preventing Portal users from selecting the license type that relates to their request for a document.

Bug fixes: Workbench

All modules

• Fixed a bug where, if a Table View was configured with a sort order on multiple columns, this sort order would not be applied when the Table View was used with a table in a Summary View.

Workflow module

• Fixed a bug where, in entities with a large number of Table Views (20+), switching between different Views in the Table Views configuration menu would cause the Configuration panel to display a blank page, rather than the configuration options for the selected View.
• Fixed a bug where, in entities with a large number of Table Views (20+), it was not possible to see all of the Table Views in the Views panel of the Table Views configuration menu, because the list could not be scrolled.
