Release Date: 10th April, 2023

Configuration Import: A configuration import tool has been created to allow system administrators to import a Thentia Cloud system configuration file that was previously exported as a system backup file. This is also helpful if the system administrator wishes to avoid starting from scratch when creating a new instance. System administrators can quickly import an already configured instance and configure additional settings in a shorter space of time, especially if the configurations are similar in nature.

If an entity is corrupted, the configuration file can be imported through the configuration import tool to return the entity to its previous working state.

Note: The configuration export tool which was created in a previous sprint release is also available to assist with generating system backup files. Assistance from a Thentia Cloud system administrator is required for this new feature.

Rules for this new configuration import feature:

• The configuration import tool resides in the System Settings of the platform.
  • There is now a new link called “Import Config”.
• Access to the configuration import tool is only available for users who have an @thentia.com email, for MVP.
• The import tool does not support record deletions, for MVP.
• On the Configuration Import page, there is an Import Configuration button.
  1. Click on the Import Configuration button. A message prompt appears indicating the following: “A backup file will be generated during this process. You will receive an email once the import is complete. During this time, please do not change any configurations.”
  2. In the Select files section: Select an import file or drag and drop a file to upload.
  3. Click on the Upload button to import the system configuration backup file. Once the file is uploaded, a record of the upload is displayed with a status of “completed”.

                   Note: Clicking Cancel will terminate the import process.

• During the import process, the following will be completed:
• Metadata will be updated for non-system entities, and new entities will be added.
• The data for system entities will be updated, including existing records that match the tc_id and new records will be created if they do not exist in the destination.
• Once the import is completed, the logs are stored in a file in the Messages area of the Data Import.
• This log is a summary report of what was imported.
• An email with a summary report attached will be sent out to the user notifying them that the import process is completed.

Enable Business Prepaid Accounts: Regulators can now enable or disable the use of business prepaid accounts in the Business Licensing portal. Once this feature is enabled, the business portal user is able to use a prepaid account as a payment method.

To facilitate the use of this new functionality, in the Portal Settings section of the Portal Configuration entity (port_site), there is now a new attribute:

• Enable Business Prepaid Accounts (Yes/No/Unset) – This indicates that the business prepaid account feature is enabled, and a user can select a prepaid account as a payment method in the portal when set to “Yes”. Business prepaid accounts are not enabled and cannot be used in the portal when this is set to “No” or “Unset”.

Note: Configuration assistance is required.

Workbench User – Duplicate application type configuration for business licenses:  Workbench users can now duplicate the configuration of application types designated for business licenses. This is done by clicking on the new “Duplicate this record” button located on the main toolbar of a Business License Application Type record (reg_permitapplicationtype), and then clicking on the Confirm button in the dialog box that appears to confirm the duplication of the record. The name of the entity to be created and the corresponding record count are displayed in the dialog box, along with the option to continue with the duplication (Confirm button) or terminate the process (Cancel button) are also provided.

Also, both the parent and child application type records that are marked as “visible” and “system entity” are duplicated and can be submitted from the Business Licensing portal

Add Balance column in prepaid transaction account: For business transactions, in the Prepaid Account Transaction entity (pay_prepaidaccounttransaction), a Prepaid Account Balance field has been added to display the cumulative balance for an account after each transaction. The Prepaid Account Balance field is also displayed to the right of the Amount column in the Prepaid Account Transactions table.

Add prepaid account transaction on payment lookup: In the Payment entity (pay_payment), there is now a prepaid account transaction field, which is a lookup to the amount in the Prepaid Account Transaction entity (pay_prepaidaccounttransaction).

Ability to handle connected spaces: Connect spaces are now automatically created on entities based on conditions or action filters in the metadata. The condition will be specified based on the value of a connected space and the filter field will be linked to the connected space id of an entity. Also, the value of a connected space is set upon the create and update actions, and the field value can specify the entity and name (tc_name) attribute to set the connected space.

System admin – Create and name sections within a portal: System admins now have the ability to create and name sections within the portals using the new Build Form button on custom pages within the Portal Custom Page entity (port_custompage). Clicking on the Build Form button will open the Form Builder page and from there the admin can do the following to create a custom page:

• Add a new section, name it, and then save the page. The first section a user sees by default will be called “Section Name”.
• Drag and drop components from the left panel into the section on the right.
• Change the order of sections by using the Up and Down arrow keys.
• Reopen the property panel by clicking on the property icon.
• Remove a component from the page by clicking the X icon.
• Click on an icon to open the Condition modal.
• Enter one or more conditions.

Workbench User – Duplicate application type configuration for individual licenses: Workbench users can now duplicate the configuration of application types designated for individual licenses. This is done by clicking on the new “Duplicate this record” button located on the main toolbar of an Application Type record (reg_applicationtype), and then clicking on the Confirm button in the dialog box that appears to confirm the duplication of the record. The name of the entity to be created and the corresponding record count are displayed in the dialog box, along with the option to continue with the duplication (Confirm button) or terminate the process (Cancel button) are also provided.

System Admin – View JSON in an editor: System Administrators can now view JSON in an editor window to facilitate easier reading, editing, and saving the JSON.

Notes Section: For assignment management in the Reviewer Module, there is now a new rich text editor text field on the Notes and Messages tabs to allow the user to write new notes or messages.

On the existing Notes and Messages sections:

• The user can view indicators for new unread notes and messages.
• The user can view the sender, content, and date/time of existing messages.

On the tab navigation bar:

• There is an indicator for new unread notes and messages.
• The number of notes and/ messages are displayed in brackets.

System Admin – View a list of available component types to use for my portal page: System Administrators can now view a list of component types that they can add to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals.

System Admin – Place the Checkbox component on the page: System Administrators can now add checkboxes to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The checkbox component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place the Social Security Number component on the page: System Administrators can now add the social security number field to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The social security number component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place the Text Area component on the page: System Administrators can now add text area fields to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The text area component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place the Text Field component on the page: System Administrators can now add text fields to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The text field component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place the Number component on the page: System Administrators can now add number fields to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The number component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place the Phone component on the page: System Administrators can now add the phone number field to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The phone number field component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place the Postal Code component on the page: System Administrators can now add the postal code field to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The postal code field component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place an Html component on the page: System Administrators can now add html components to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The html component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place the Province component on the page: System Administrators can now add the province field to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The province field component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place the Country component on the page: System Administrators can now add the country field to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The country field component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place the Email component on the page: System Administrators can now add the email field to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The email field component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place the Radio button component on the page: System Administrators can now add radio buttons to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The radio button component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

System Admin – Place the Date component on the page: System Administrators can now add the date field to custom forms using the Build Form button on portal custom pages in the Portal Custom Page entity (port_custompage) to be used in the portals. The date field component can be dragged from the property panel on the left and dropped on the form on the right and then you can save the form with the new component.

Tools to populate the entity classification values: The DevOps tool has been modified to support importing and exporting entity classification values from and to csv files.

Entity/Attribute Creation – Portal Configuration: Licensees can now review past reinstatement applications that they have submitted by clicking on a “Review” button that appears next to the submitted reinstatement application. The licensee will be able to review the application page by page or review all pages by scrolling up/down a single page and also download a pdf version of the reinstatement application.

To facilitate the use of this new feature, in the Registration section of the Portal Configuration entity (port_site) there is now a new attribute:

• Show Past Individual Reinstatement (Yes/No/Unset) – This enables the reviewing of past individual reinstatement application records when set to “Yes”. Past individual reinstatement application records cannot be viewed when this is set to “No” or “Unset”.

Enforce Invitation Email when redeeming code for Sponsored Application: System administrators can now enforce using invitation emails when redeeming codes for sponsored applications in the portals.

To facilitate the use of this new feature, in the Configuration section of the Portal Configuration entity (port_site), there is now a new attribute:

• Enforce Invitation Email as Log-in Email (Yes/No/Unset) – This is enabled when set to “Yes” and requires the sponsorship invited user to sign up with the same email as the invitation email when logging into the portal and use the correct token before they can start an application. Other users cannot redeem the same token.When this is set to “No” or “Unset”, using the invitation email as the log-in email is not enforced and the user needs to enter the correct token before they can start an application.

Field Creation Request – Portal Configuration – business renewals review: Business licensees can now click a Review button next to the business renewal record to review the renewal application page by page or review all pages by scrolling up/down a single page and also download a pdf version of the license renewal application.

To facilitate the use of this new feature, in the Business Information section of the Portal Configuration (port_site), there is now a new attribute:

• Show Past Business Renewals – This enables the viewing of past business renewal applications when set to “Yes”. Past business renewal applications cannot be viewed when this is set to “No” or “Unset”.

Entity/Attribute Creation – port_site: System administrators can now enable or disable the individual license search option on the Online Registry portal.

To facilitate the use of this new feature, there is now a new radio button in the Public Register Configuration section of the Portal Configuration entity (port_site):

• Disable Individual License Register (Yes/No/Unset) – This indicates if the individual license search option is disabled on the Online Registry portal.

To facilitate the use of this new feature, in the License Change Request Fee Item entity (reg_registrationchangerequestfeeitem), there is now a new attribute:

• Original Registration Status – Select the lookup to the original registration status in the License Status entity.

Attribute Creation – Time Stamp Annotation – Authorization Application: The timestamp annotation is now recorded when an authorization application is submitted.

Attribute Creation: Continuing Education Program: The request to add the following two attributes to the Continuing Education Program entity (lrn_professionaldevelopmentperiod) has been completed:

• Program Instruction – The list of the instructions for the continuing education program.
• Instruction String Resource Key – The string resource key for the continuing education program instruction.

System admin – Start a configuration for a new portal page form: Through UI, system administrators can now start configuration for a new portal page. In the past, they can configure it using JSON.

The system admin user will be able to do the following:

• Start a new portal page form.
• Enter the page name.
• Select the target entity from a list.
• Define one or multiple parent entities.
• Click on the Build Form button to launch the Form Builder page. The Form Builder page consists of a left panel and a main panel and by default a section is displayed where the system admin can drag and drop the form attributes.

Note: In the Custom Form entity, the Default View Class must be changed to “ThentiaCloud.View.CustomPageRecordView”. Save the record and then refresh the page. Doing this step will load the new Form Builder option when you open a custom page record.

Fix Entity Metadata: Entity metadata has been modified to ensure the metadata stored in the Mongo database and Elasticsearch are in sync.

Port_site is not appearing on production platform: The Portal Configuration (port-site) entity is now visible and accessible from within the Workflow module of the client’s platform.

System admin – Configure attributes that can be used to validate my identity: System administrators can now configure attributes that can be used to validate a user’s identity when claiming a sponsored application in the portals. This feature is enabled when the “Enforce Invitation Email as Log-in Email” radio button is set yes in the Portal Configuration. The sponsorship invited user will then need to sign up with the same email as the invitation email when logging into the portal and use the correct token before they can start an application. Other users cannot redeem the same token.

Note: Configuration assistance is required. This is related to platform item “Enforce Invitation Email when redeeming code for Sponsored Application”.

Sponsor application – Assign application number & add custom page support: When claiming a sponsorship application, the application number assigned during the creation of the application is displayed on the application record.

Also, on the Claim Sponsorship page, support has been added for the following custom functions:

• onPageLoad
• onPageSubmit
• onPageSubmitCompletion

System Admin – Enable/disable individual register: System administrators can now enable or disable the individual license search option on the Online Registry portal with the new “Disable Individual License Register” radio button in the Public Register Configuration section of the Portal Configuration entity (port_site).

Multiple Business License Document Templates: System administrators can now configure multiple document templates for business license types, which is similar to individual license types. Different document templates can be defined and displayed on the portal versus the workbench.

Also, workbench users can select which document template to use from the various document templates configured.

Note: If an extension other than “. certificate” or “.wallet” are entered for the document template, then the wallet card will display by default.

Portal user – Review my facility renewal application after it is submitted: Portal users can now review past facility renewal applications by clicking on the Renewal button associated with a facility renewal record on the Facilities page in the portal. The user will be able to review the renewal application page by page or review all pages by scrolling up/down a single page and also download a pdf version of the renewal application.

Note: Configuration assistance is required. This is related to platform item “Field Creation Request – Portal Configuration – facility renewals review” and “Attribute Creation – Time Stamp Shot – Facility Renewal”.

Portal user – Review my facility application after it is submitted: After submitting a business facility application on the Facilities page in the portal, the portal user can now click on a “Review” button next to the submitted application to view the information submitted on the application. The portal user will be able to review the facility application page by page or review all pages by scrolling up/down a single page and also download a pdf version of the facility application.

Also, the timestamp shot, and the timestamp annotation will be recorded for the facility application when submitted.

Business Licensee – Review my business license renewal application after it is submitted: After submitting a business license renewal application on the Licenses page in the portal, the business licensee can now click on a “Review” button next to the submitted application to view the information submitted on the application. The business licensee will be able to review the renewal application page by page or review all pages by scrolling up/down a single page and also download a pdf version of the license renewal application.

Licensee – Review my authorization renewal application after it is submitted: After submitting an authorization renewal application on the Authorization page in the portal, the licensee can now click on a “Review” button next to the submitted authorization renewal application record to view the information submitted on the application. The licensee will be able to review the authorization renewal application page by page or review all pages by scrolling up/down a single page and also download a pdf version of the authorization renewal application.

Note: Configuration assistance is required. This is related to platform item “Attribute Creation – Portal Configuration”.

Licensee – Review my authorization application after it is submitted: After submitting an authorization application on the Authorization page in the portal, the licensee can now click on a “Review” button next to the submitted authorization application record to view the information submitted on the application. The licensee will be able to review the application page by page or review all pages by scrolling up/down a single page and also download a pdf version of the authorization application.

Also, the timestamp shot, and the timestamp annotation will be recorded for the authorization application when submitted.

Licensee – Review my reinstatement application after it is submitted: After submitting a reinstatement application on the Reinstatement page in the portal, the licensee can now click on a “Review” button next to the submitted reinstatement application record to view the information submitted on the application. The licensee will be able to review the application page by page or review all pages by scrolling up/down a single page and also download a pdf version of the reinstatement application.

Status Change Request – Fees: On the Status Change Request page, under Requests in the portal left navigation menu, the current status of a licence fee is now taken into account when there is a requested status change, and the applicable fee will now be displayed. The use of this feature is enabled when the “Original Registration Status” is selected for the status change request fee item in the License Change Request Fee Item entity (reg_registrationchangerequestfeeitem) in the Workbench.

For example:

• A status change request from inactive to active has a fee of $350.
• A status change request from active to inactive has a fee of $50.
• A status change request from active to inactive does not have a fee.
• A status change request from temporary to inactive has a fee of $25.

Portal User – View payment date on the invoice/receipt pdf: After making a payment, the date of the payment is now displayed on invoices and receipts. In the payment section, the payment date, payment method, and total payment amount are displayed. The refund section displays information when there is at least one payment record with a refund.

Rules for this new feature:

• Payments with the same transaction code, payment method, and payment date are grouped together.
• If the transaction code is empty, payments with the same reference number, payment method, and payment date are grouped together.
• If the reference number is empty, payments with the same payment method and payment date are grouped together.

Registration number is not displaying in Licensure approval email: After paying the registration licensure fee, the registration number is displaying now in the Licensure Approval email.

Payment Page showing Network Error but still let you continue: In the portal, if a network error is present on the payment page, then all payment methods (check, credit card, etc.,) will be disabled and the user will not be able to proceed with Processing Payments.

Ensure User Can Modify Record / Refactor Individual App payment controller: After a sponsored application invitation has been claimed, the business can now update the cancellation date under Sponsored Application Invitations.  

New information/variables added in the templates: When an application is submitted the correct email template will now be triggered on application submission in the workbench. New variables that were added are now reflected in the emails that are sent.

Also, the licence type has been added and will be displayed on all sponsored applications.

When Certificate is configured for Business Licenses, “Download” button is not available on the portal to download the certificate: The “Certificate” download button is now available on the portal to allow downloading certificates when there are certificates configured for business licenses.

GetFixedProratedAmount() method Time Zone Issue: When a new business license is created in the portal, the application fee will now correctly match the amount specified for the proration fee record in the Fee Proration Condition entity.

Inspector Portal and Workbench is not behaving correctly: Inspections linked to a business application can now be assigned to an inspector within the Workbench.

Inspection session bug: When a new Facility Inspector record is added in the workbench without a profile selected, the inspector can now successfully log into the portal.

Unable to save custom pages on licensee portal: After completing a custom form in the portal, the custom form is saved, and the user is returned to the previous page and will no longer receive a network error.

Bug – Renewal does not open if name on Registration Class contains period: Regardless of whether the licence type has a period, the renewal record will now open.

Description field does not show up on the CE program page: A new field “Program Instruction” has been added to display the instructions for a CE program, and the “Description Resource Key” field name has been changed to “Program Instruction Resource Key” to store the resource key for the program instructions in the portal.

In the workbench Program Details entity, the “Description” field has been renamed to “Program Description (Internal)”. This field is only for internal notes and use.
