Thentia Cloud Platform Enhancements

Description Location

Changing entity classifications: Classifications have been added to all Thentia cloud entities. The classifications are as follows:

  • System – This indicates an entity that is not a custom entity and not owned by the customer entity.
  • Customizable – This indicates a system entity that is customizable (e.g., Profile).
  • Configuration – This indicates system entities that store configuration and non-configuration elements of the system. It is used to export data from entities or flags that determine which data the entity receives.
  • Mandatory – This option was available in previous releases but has now been removed.
  • Deprecated – This indicates an entity attribute that needs to be preserved for the purpose of backwards compatibility with older release versions.

Configuration Export: A configuration export tool has been created to allow system administrators to export a Thentia Cloud system configuration file for use as a system backup file. This is also helpful if the system administrator wishes to avoid starting from scratch when creating a new instance. System administrators can quickly export an already configured instance, import it, and configure additional settings in a shorter space of time, especially if the configurations are similar in nature.

If an entity gets corrupted, the configuration file can be imported through the configuration import tool to return the entity to its previous working state.

Note: The configuration import tool will be available in a future release. Assistance from a Thentia Cloud system administrator is required for this new feature.

Rules for this new configuration export feature:

  • The configuration export tool resides in the System Settings of the platform.
    • There is now a new heading called “Configuration Export” under Site Map.
    • After clicking on the Export button, a message prompt similar to the following appears: ”You will receive an email once the import is complete. During this time, please do not change any configurations.”
  • Access to the configuration export tool is only available for users who have a @thentia.com email, for MVP.
  • The configuration export file captures the metadata of all entities, including system entities and content from all system entities with associated record IDs (excluding files for now).
  • The configuration export file is saved under Files within the Data Export in Workflow.
    • There is no limit to how many export files are kept on the Platform.
    • The configuration export file contains a version number.
  • Once the export is completed, the logs for the export process are stored in a file in the Messages area of the Data Export.
    • The log file is a summary report of what was exported.
    • An email is sent to the user who initiated the export process to let them know that the export is complete, and a summary report is attached.

Thentia Cloud Platform Bug Fixes

Description Location

The Analytics Dashboard has been modified to display properly scaled charts, and to allow editing, which includes removing charts or queries that were made by mistake for a dashboard.

After uploading a file with annotations to a business record in the platform, the annotation will now be associated with the correct Connected Space.

Config – Business Registration

When a fee product is changed on the Invoice Item record, the correct amount will now be displayed for that fee product.

On the Thentia Pay page, after clicking on the “Checkout” button, one scroll bar, instead of two, will be available for use.

Finance

Internal notes (tc activity) saved in the workbench are now correctly linked to the associated record. This means that saved records will now be visible from the “Files” section under Files & Activities and the “Related Record Id” field will be populated.

Thentia Cloud Portals Enhancements

Description Location

Disable applications that require Sponsorship: Applications that require sponsorship are now disabled and not available for applicants to start in the portal.

Application Portal

Individual Licensee – Start my application by redeeming my invitation code: Individual licensees can now start their sponsored application by redeeming their invitation code. The individual licensee can do the following to redeem the invitation code after copying it from the sponsor application invitation email:

  1. On the Online Application page in the portal, click on the new “Claim Sponsorship” button.
  2. Enter the invitation code.
  3. Click on Submit. Once the invitation code is validated, the licensee can see the sponsoring business’ name and the sponsorship expiration date.

Portal User – View a list of messages with enough context: Applicants can now view a list of messages received from the agency by clicking on “My Inbox” in the portal’s left navigation menu. Initially, each message record will display a subject, the related record information, the last message date, and a View button. Clicking on the View button will open the message record and the applicant will be able to view the entire message contents.

Application Portal

Individual and Business authorized portal users – View notifications of unread messages from anywhere on the platform: Individual and business authorized portal users can now view notifications of unread messages from anywhere on the platform.

To facilitate this new functionality, in the top navigation bar:

  • There is now an indicator that displays the number of message threads that have at least one unread message.
  • There is now a hyperlink called “My Inbox”. Clicking on “My Inbox” will redirect the user to the page that lists all the user’s messages.
Application Portal / Business Licensing

Business Applicant – Ability to review my business application: Business applicants now have similar functionality as individual applicants. This functionality includes the following:

  • They can now view screenshots of pages that were added or edited during the application process.
  • They can download any files that were uploaded to a page in the business application.

Business Licensing

Regulator – Approve a Business Application and specific Key Contacts, not all:
Regulators can now specify which pending key contact records will be approved for a business application. When the Key Contact Change request is approved, only the pending key contacts that are not flagged as rejected will be converted into approved key contacts. Pending key contacts flagged as rejected will have the processed flag set to “yes”, but no approved key contact records will be created.

Business Licensing

Business Reviewer – Decide approval outcome after reviewing a sponsored application: Business reviewers can now determine the approval outcome of a sponsored application that they have reviewed by clicking on the “Go to Application Approval” button located at the bottom right corner of the Application Review/Print page.

To facilitate the use of this new feature, the following have also been implemented:

  • On the Sponsor Applications page, there are two new buttons:
    • Review – Click on this to review the submitted application.
    • Application Approval – Click on this to proceed with approving or rejecting the application.
  • On the Sponsorship Approval page, there are two new buttons:
    • Review – Click on this to review the submitted sponsorship application.
    • Submit – Click on this to submit the sponsorship approval decision (Approval / Reject).
Business Licensing

Business portal user – View some instruction text when I open the Sponsored Application Review page: Business portal users can now view instructions below the page title on the Sponsored Application Review page. The agency system admin can configure the string resource that displays the instructions text on the page.

Business User – View statuses for all existing invitations in a view: Business users can now view the statuses for all existing invitations on the Sponsored Application Invitations page in the portal. Statuses include “Sent”, “Redeemed”, and “Withdrawn”.

Business User – View a confirmation message before withdrawing a sponsorship: Business users attempting to withdraw a sponsored application will now see a confirmation message after clicking on the Withdraw button on the Sponsored Application Invitations page.

Business Authorized User – View all messages related to business: Business authorized users can now view all messages related to a business from within the portal. To view the messages related to a business, the user will:

  1. Select the business.
  2. Click on Business Inbox below the business profile in the left navigation menu and the messages related to that business are displayed.
  3. Click on a message to read or reply to it.

Licensee – Review my license renewal application after it is submitted: Licensees can now review their license renewal applications after submitting them by doing the following:

  1. In the left navigation menu of the portal, click on License Renewal.
  2. Scroll to the bottom of the page to view the table with the Past License Renewal records.

Public Register filter for Licensee with Authorization: There is now the option to view a custom page by clicking a link (e.g., View Clinical Supervisors) directly from the main public register License Search page. After clicking on the “View Clinical Supervisors” link, the Clinical Supervisors page opens and displays all licensees who have an active clinical authorization with an active registration.

Clicking the View button associated with a licensee will redirect the user to the individual profile and clicking the Search Again button will allow searching for another profile.

Role access – bugfix and enhancements: The Access Role field in the Authorized Representative entity has been added to the sponsorships process to allow specifying the business user’s role access to sponsorship application pages in the portal. The permissions granted to an Access Role within the Page Access entity determine whether a user has “read”, “write”, and/or “can submit” access on sponsorship applications.

Additional modifications have been made:

  • Screenshots stored in the Timestamp Shot page of the Business Application record and the submit form behavior on submit are now bypassed, and existing screenshots are not replaced for the view-only mode users in the portal.
  • Shorthand has been added for “:id” and “:num” for link expressions.
  • The following items have also been fixed:
    • Custom navigation items are no longer hidden.
    • Custom process support has been added.
    • Disable functionality has been added for custom pages.
    • The link creation method has been updated for custom navigation items.
Licensee Portal

Use analytic query on the public register: The public register program code has been refactored to use the Analytics query and the Business Public Register Record “Has Public Notice” attribute is now computed, and the associated query is used to address disciplinary searches.

Placeholders are now supported in the Analytics module to handle different search criteria. A backward-compatible option has also been added to retain the public register record design for legacy customers.

Thentia Cloud Portals Bug Fixes

Description Location

The license number is now displayed in the correct format on the workbench after selecting credit card as the payment method and then submitting the payment for the application.

The Process Payment button is now displayed in the portal after the user selects “e-check” as the payment method to process the payment for the application.

In the portal on mobile devices, once the user selects an address from the suggested address list in the personal information section on a new application, the following will now occur:

  • The full street name is displayed.
  • The following fields are automatically populated: “street address”, “City”, “Province” and “Zip Code”.

When a payment is made with a payment authorizer (e.g., NIC) for a custom process in the portal, the custom process record will now be completed, and the user will be redirected to the completion step.

The user is now redirected to the previous page’s list in the portal when the last application under Sponsor Applications is rejected.

When attempting to start the business license renewal process in the portal, the page loading spinner will stop spinning continuously and the page will load properly.

Configuring an Application Required document specific for renewals only no longer requires adding a record in the Application Instructions field. The Supporting Document page will still appear for the renewal even if a value is not specified in the Application Instructions field.

After successfully processing an e-check payment for a license renewal, the renewal payment will now be applied to the renewal record in the workbench.

The format has been corrected for various details on the CE Examination page:

  • Best Attempt section – The font styles are updated; a colon was added, and the background color has been removed.
  • Correct answers – These are no longer presented with a background color.
  • Results and wrong answers – These are now displayed in the same red color.

In the portal the primary and secondary colors are now properly defined and displayed for the button text and button background colors.

When accessing the portal on mobile devices, users can now remove a language from the list of languages on the “Language of Care” (or Language of Business) page.

When processing offline payments or redirecting payments through a payment authorizer, the portal version will now be the same as the PHP code.

The rules are as follows:

  • If the portal version is greater than or equal to 2.8.0, the application or license number is determined by the number manager.
  • If the portal version is less than 2.8.0, the application or license number is determined by the auto number.
Multiple Locations

In the portals, when using a custom page in a process (e.g., individual/business license, license renewal or reinstatement), the step number for the custom page will now remain the same after refreshing the page.
