Description Location

1. The ability to add minimum and maximum limits for each category of learning has now been included.

For this, the entity for All Continuing Education Programs was modified to include the following under Program Details:

  • Program Dates Are Based On Registration Period options
  • Carryover Units options
  • Maximum Units Required field name has been changed to Maximum Units Allowed

Also, under Connections – Categories, a new entity has been created for the Program Category form.

The entity for All Continuing Education Plans was modified to include the Programs field.

2. The ability to charge tiered late fee for the renewal of a license has now been added in the Thentia Cloud Platform.

In the Renewal Fees table, double-click on any fee renewal item and select the Late Fee Details option in left navigation menu. The Late Field Start (days) and Late Fee End (days) fields are now available on this page to help calculate the total late fee according to a tiered late fee structure after the end of the license renewal period.

3. The ability to generate and download a certificate has now been added for Registration Detail records and Business Licenses records. Click on the record and select the circular Generate The Registration Certificate or Generate the Permit Certificate button on the toolbar below the record title to avail this functionality.

The implementation team needs to add a document template for the registration certificate or the permit certificate for this functionality to work properly.

4. For supervised hours, the following entities have been created or updated:

  • Supervision Agreement – this entity has been updated to include the End Date field.
  • Registration Class – the entity has been updated to include the Supervision Evaluation Period (months) field.
  • Supervision Evaluation – new entity has been created.
  • Supervision Evaluation Status – a new entity has been created.
  • Supervision Report – a new entity has been created.

5. The following 2 entities have been created to allow the regulatory bodies to share documents with the licensees and applicants with the help of a document library:

  • Shared Document – each record is for 1 document. A file attachment is also expected for each record.
  • Shared Document Folder – folders that can contain multiple documents.

6. The entity Application Category has been created to bundle forms under each Application Group Type. These groups are displayed in ascending alphabetical order when filling in an online application.

7. The ability to only display the last 4 digits of the licensee’s SSN in the profile page is now available.

Open the Port Site entity and scroll down to Personal Information Configuration in the left navigation menu to find the Capture Only Last 4 SSN Digits option.

8. The ability to set the license renewal date same as the Birth Day of the licensee is now available.

In a Registration Class record, the Set License Period End Date To Birth Day option can be modified to avail this functionality.

9. The Total CE Required field has been removed from the Registration Class Entity and replaced by the newly created entities mentioned below. These entities will work together with the existing Continuing Education credit requirement in the Registration Class.

The Continuing Education Program entity has been created. Each record in the Continuing Education Program entity is linked to a Registration Class and Registration Status. Each record also contains the Minimum Units Required and Maximum Units Allowed fields. The program dates can be based on the registration period or an Effective Date & Time and End Date & Time can be specified. An Allow Carryover Units field is also available for each record.

In any Continuing Education Program record, scroll to Connections and click on Categories in the left navigation menu. The Minimum Units Required and Maximum Units Allowed values can be set by the regulator for each category here.

The entities listed above will provide the regulator with greater flexibility in designing a more comprehensive Continuing Education credit requirement.

10. A new Number Managers entity has been created in the Workflow module. Here, 2 registration display formats called registration and registration.a have been created.

To use this functionality, the implementation team needs to add the following 2 display formats to the Number Managers:

  • {0,number,sss}
  • COM-{1,date,YYYY-MM-dd}-{0,number,00000}

11. The Thentia Online Register portal has an existing functionality which displays a table of results for every search. The location for the automated execution of this logic has been moved from the portal servers to the platform servers.

12. Changes made in Profile, Employment, Public Registration Record or Registrations records in the Register Module or changes made in Public Notices records in the Complaints module are reflected in the existing public register records. The execution of this update has been moved from the portal server to the platform server.

Thentia Cloud Platform Bug Fixes

Description Location

1. The functionality to run queries and generate reports on the data in any module is now working correctly. The synchronized data from other modules (e.g., Register) copies over to the Analytics module database completely now. This data can now be used by the Analytics module to run queries and generate reports for analysis.

This feature also provides the capability to resync the missing data and add it to the Analytics database with the help of a new command which can be executed in the DevOps console application.

Additionally, the functionality to remove duplicate fields from the metadata in the Analytics API has been added. This ensures that the synchronization process will not be interrupted due to duplicate case-sensitive fields.

Duplicate metadata updates have also been blocked in the Dynamo API. As a result, a new entity being saved will be scanned and rejected if duplicates are found in the attribute column.

2. The issue of duplicate license numbers being generated for different licensees has now been removed.

Also, the option to filter the columns on the Auto-numbering page has been removed and a new Display Format has been applied.

3. The Amount column in Invoices no longer displays CAD since the invoice currency can vary for different licensees.

After selecting a profile record, scroll down to Connections in the left navigation menu and click on Invoices. Open an invoice and click on the Pay Invoice button in toolbar below the Invoice number to view the Amount column.

4. A registration history record is now created in the Thentia Platform when an application is completed for the first time by a licensee. Previously, no registration history record was created for first-time licensee applicants.

Thentia Cloud Portals Enhancements

Description Location

1. The Application Types have been grouped and linked with categories. Hence, applications now display under Application Groups in ascending alphabetical order in the Application Portal. Clicking on Expand displays the list of forms (also in ascending alphabetical order) under each group.

2. The ability to add tables to custom forms is now available. This allows the applicant to submit multiple entries for every form category/section.

3. The new entities created in the Thentia Platform for supervised hours are mentioned in Enhancement number 4 in Thentia Cloud Platform table above.

Each Supervisor-Supervisee relationship is depicted using a Supervision Agreement. Each registration can have multiple Supervision Agreements. Each Supervision Agreement can have multiple Supervision Evaluations.

The first Supervision Evaluation is created during Application / Renewal Approval when the Supervision Agreement becomes Active. The next subsequent evaluation is created once the end date of previous evaluation has passed. Supervisees can add new / modify the hours under a supervision evaluation and submit the report. Supervisors can then approve or reject the reports.

4. The ability to show or hide the License History table in any record in the Online Registry is now available. This can be achieved by turning the Show License History Table toggle on or off in the Public Register Configuration.

Also, the License Number, License Status and License Expiry Date fields have now been added to under the Licensee’s profile card.

5. The ability to show or hide the License Expiry Date on the profile page is now available. The Public Register Configuration contains the Show / Hide License Expiry Date option to enable this functionality.

6. Add configurable expiration date of license on the public register profile view. Remove the license table on public register, and add license number, license status, expiry date to the existing profile card, under licensee’s name.

7. In the Continuing Education section, the credit requirement changes made in the Thentia Platform will be reflected in the portal. The Minimum Units Required and Maximum Units Allowed values set by the regulator for each category will also be reflected in the portal. For more information, refer to Enhancement number 9 in the Thentia Platform release note above.

8. Taxation tables have been added as per jurisdiction so that taxes can be automatically calculated on licensing. Based on the province and which portal is being tested, the tax bracket is calculated differently:

  • Application Portal – the tax bracket is decided by the primary place of employment. If unavailable, the province or state mentioned in the profile is used for tax calculation.
  • Licensee Portal – the tax bracket is decided by the primary place of employment. If unavailable, the province or state mentioned in the profile is used for tax calculation.
  • Business Licensing Portal – the tax bracket is decided by the permit holder location. If unavailable, the province or state mentioned in the profile record is used for tax calculation.
  • School Administration Portal – the tax bracket is decided by the province of the selected school.
  • Inspection Portal – no payments in inspector portal.

Also, a default tax bracket is applied when there is no tax configuration matching the state/province.

9. The ability for regulatory bodies to share documents and folders with the licensees and applicants with the help of a document library is now available. The following features are associated with the shared documents in the portals:

  • Users can download file attachments
  • Each file has a name and description
  • Each file belongs to a group
  • There is a search feature allowing users to search through all applicable files for this portal.

There are 3 simple views for this functionality in all applicable portals:

  • Folder List – shows when users click the Document Library menu item. It shows a table of all folders available for this portal. It also has a search bar.
  • Folder View – shows when users click the view folder option from the folder list. It shows all documents within this folder. Users can click the download button to download the documents.
  • Search Result – it displays a document table, similar to the folder view page. The search result of all the folders applicable in a portal are the documents listed in the table.

10. An additional paragraph of hard-coded text has been added on top of the Licensee search page, the Licensee search results page and on top of the profile page in the Online Registry.

11. The Licensee’s Public Address, City, Province and Postal Code has now been removed from the licensee’s profile. Also, the Primary Place Of Practise table will now be modified to display all the places the licensee practices.

Thentia Cloud Portals Bug Fixes

Description Location

1. The License History for a licensee is now displayed in a table on the Online Registry Portal.

A registration history record is now created in the Thentia Platform when an application is completed for the first time by a licensee. Previously, no registration history record was created for first-time licensee applicants.

Also, unlike before, the correct dates will now be displayed in the registration table. When a registration history entity is created, the effective date of the history record will now be displayed as the time when the registration history is changed (i.e., renewal being completed, application being completed etc.). Additionally, the expiration date of the registration will be used as the expiration date of the registration history record.

2. In cases where a section in the portal was unable to find some information for a record in database, it was displaying the database label “SHARED_LABEL_NONE” instead of “None”. This issue has been fixed so that “None” will now be displayed if the database does not have some information for a record in the registry.

3. To ensure that the logo displays properly in the email templates, the print version of the invoice receipt and the print version of a profile in the public register across different browsers, the Thentia Implementation Specialist team should use a rectangular logo that is 300px wide and 75px in height.
